Your weekly check-in

This one is for the owner. Everything else in Momentum-AI builds a machine that runs without you — this is the five minutes a week where you check that the machine is actually taking the business where you want it to go.

The problem with running on feel is that busy weeks feel successful and quiet weeks feel like crisis, and neither feeling is reliably true. You can have a rammed diary of low-value appointments, or a quiet week where three big deals moved. A dashboard replaces the feeling with five numbers. Five — not thirty.

Number What it tells you Where it lives
Leads in How many new enquiries entered the system, all doors combined Contacts → Contacts count over time
Speed to answer How fast enquiries got a first reply Conversations → Average response time trend
Bookings How many appointments got made Appointments → Appointment count
Show-ups Of those booked, who actually came Appointments → Showed appointments count
Money collected Real money that arrived — collected, not invoiced Payments → Total revenue trend

It’s a two-minute job, and doing it yourself means you’ll always know where these numbers live.

  1. Open your dashboards and create a new dashboard. Name it Weekly Check-In.

The dashboard switcher open, with the New button for creating a dashboard picked out.

The new dashboard window with the name field highlighted; yours will say Weekly Check-In.

  2. Choose Add widget, then add each of the five widgets from the table above, one shelf at a time.

The dashboard in edit mode with the Add widget button in the top corner and the first widgets taking shape.

The add widget panel with chart type, title and metric chosen, and the Save button highlighted.

  3. Save changes. That’s the whole build.

Edit mode with the Save Changes button highlighted in the top corner.

  • Leads in is the top of your funnel. If it drops for a few weeks running, the fix is upstream: your posting rhythm in the Social Planner, your capture doors in Forms & funnels, or perhaps a broadcast to wake your list up.
  • Speed to answer is your machine-health warning light. With your AI team on shift this should be seconds, and stay that way. If it creeps up, something’s unplugged — a channel disconnected, or an AI toggled off.
  • Bookings is the bridge between interest and revenue. Leads healthy but bookings soft? The gap is in the conversation — look at what Conversation AI is offering, or whether your availability is too stingy to book into.
  • Show-ups responds to reminders like a plant responds to water. If fewer than roughly nine in ten bookings are turning up, revisit your reminder wording and timing in Calendars & appointments.
  • Money collected is the number everything else on the card exists to serve. It’s driven by the machinery in Payments, invoices & text-to-pay.

Here’s the discipline that makes five minutes enough: you’re not judging a week, you’re watching the direction. Any single week can be weird. Three weeks of a number sliding is a signal — and each number, when it slides, points you at exactly the lever that moves it.

Use the date range picker on your Weekly Check-In dashboard to compare this week against the last few. These five aren’t a report card; they’re a control panel.

The date range picker open on the dashboard, with this week selected and comparison options for last week and the year before.

  1. Put a recurring slot in your calendar — same time every week. Friday afternoon works well.
  2. Five minutes, five numbers, one question: is anything sliding three weeks straight?
  3. If yes, follow the number to its lever above. If no, close the laptop and enjoy the rarest feeling in small business: knowing, rather than hoping, that things are working.
